The Super Duper Problem Fixer

One of our customers pointed out a new program to me and wanted me to check it out. This program called itself a bug fixer. It was a sharp looking program and claimed to fix bugs on the user’s computer that he didn’t even know existed.

It sounded like a super duper problem solver until I downloaded it and took a closer look. Being a programmer I quickly saw behind its smoke and mirrors. It actually only performed six of the over 1000 cleaning processes which our A1Click Ultra PC Cleaner and RegVac Registry Cleaner do.

Even though it did little compared to our programs, it found 504 problems. How can that be? My computer was clean. The program did not show any details about the results but wanted $30 before it would clean them. I’ll never know for sure about those results, but I suspect that they were fabricated and that the true number of problems was 0.

There are many shady developers out there that just want to make a quick buck. I doubt this bug fixer program will even be around in a year.

How To clean your Case

There is nothing wrong with leaving spills, dirt, and stains on your computer case. After all isn’t that what the case is for, to protect the electronic components inside from spills and dirt? This is true, but there are still parts of the case that need to be cleaned and checked if you want your computer to live a long and prosperous life.

Unless you like looking at dirt everytime you look at your computer, you should go ahead and clean those spills, stains, and dust off of the case. You can do this with just about any cloth and cleaner. Do not use highly abrasive cleaners that might ruin or mar the surface and do not use solvents on plastic. A wet sponge will even work. Just make sure that the cleaner or any liquid does not seep into the inside through cracks and vents. If there is any possibility that you are going to get that messy, turn off and unplug the computer first and wait to turn it back on until any liquid has had a chance to fully dry.

After you have wiped off the outside, it is time for a little inspection. Look at the blades of the fan in the back of the computer. Also look at any vents. Is there dust there? Is there a lot of dust and grime caked on to it? If so, that is an indicator that the inside also needs to be cleaned (I will tell you how to do that in next week’s article - How to Clean your Motherboard).

Some clean environments never have to have the inside cleaned. Some need it cleaned monthly. When I lived in Russia, even though I didn’t notice it, the air was not clean. The fan on the computer would cake up with dirt and grime after about a month of use. And so I would have to clean the fan, vents, and inside monthly. If I had let it go for several months without cleaning, the fan would have stopped working and the computer would have overheated.

Again, the indicator of this is the blades of the fan and the vents. If they are dirty, they need to be cleaned.

You can do some of the cleaning from the outside. First, turn off the computer. Then get out the vacuum sweeper and using the hose, vacuum out the vents and the fan(s). If you have compressed air (you can purchase compressed air from your computer store), you may want to blow air in through the vents (or intake fan if you have one) to loosen the dust and suck it out using the vacuum. If there is still dust or dirt in the vents or on the blades of the fan, you can use a Q-tip to clean them.

If you do not have a vaccum, you can use compressed air alone. Always use short bursts to avoid moisture buildup. Start with the computer off and blow into every hole and vent. Then turn the computer on and blow everything except for the exhaust fan once again.

With the case clean, your computer will look nicer and with the fan and vents cleaned out it will breathe easier and run cooler.

How to clean your Mother Board

If you have not done the inspection mentioned in the previous article - How to Clean your Case, now is the time to do so. Look at the blades of the fan in the back of the computer. Also look at any vents. Is there clusters of dust there? Is there grime caked on to it? If so, the inside needs to be cleaned. If the fan blades are clean but it has been several years since you have cleaned the motherboard or if the computer is around cigarette smoke, it probably should be cleaned anyway. Dust and particles in the air (like cigarette smoke) can build up on the circuitry of the motherboard and cause it to heat up and/or corrode.

The first thing that you need to do is unplug your computer. Then open up the case to get access to the motherboard. Cases open differently. If you don’t know how to open your case, look on the back of your computer along the edge for some screws. These screws may hold on side panels or an upside down U shaped panel that covers the sides and top. Removing the screws will allow you to take off the cover. Other cases have the screws on the front of the computer. To get access to these screws, you must first remove the front panel by pressing a hidden latch. The cover is there to give easy access to the inside of your computer, so if you look hard enough, you should be able to figure out how to remove it.

Remember that if you touch anything on the motherboard, you should be grounded by either touching the metal frame of the computer with your other hand or by wearing a special grounding device.

The goal of cleaning the motherboard is to remove all dust and debris from the motherboard and all components inside of the case. This can be done using one of three methods.

The preferred method is to use a can of compressed air to blow it out. Always hold the can in an up-right position to prevent the propellent chemicals which can damage or corrode components from coming out. Dust and dirt should be blown away from the motherboard and out of the case.

Another way to remove dust is to use a vacuum.

I have used an AC powered vacuum (before I knew that it was not recommended) to clean my motherboard many times and it has never caused any problems, but I may have just been lucky. When using the vacuum, keep the nozzle a couple of inches away from the motherboard or any other components so that it does not come in contact with them and so that any small parts are not sucked into the vacuum.

If you do not have a can of compressed air or a vacuum, you can use a dry cloth and brush to clean the motherboard. Be careful not to dislodge or break anything using this method.

While cleaning the motherboard, be careful not to unplug any cables or connections or to dislodge any loose components, such as, jumpers.

Methodically clean the whole inside of the case going over all of the motherboard from one end to the other and all other components. Don’t forget to clean the fans and heat sinks. Do not open up the power supply box or stick anything in it beyond the fan. If you do, you could get a shocking surprise and ruin your computer.

If your computer does not work when you put it back together, something was obviously dislodged during the cleaning. Open the case back up and push all connections and cards into their slots. Look for anything that may have become disconnected.

Cleaning the motherboard is probably the most dangerous form of cleaning but it is necessary to prevent an early death of your computer.

Analysts Speculate IT Tech Trends for 2008

What are the experts predicting for tech trends in 2008? At the recent Gartner Symposium/ITxpo held last October in Orlando, more than 6000 senior business and IT strategists from virtually all major industries gathered for the industry’s largest conference to gain the latest advice on driving profits and performance with IT. Attendees rely on the Gartner Symposium/ITxpo for their annual planning and to gain insight into how their organizations can best use IT to address business challenges and improve operational efficiency.

Reflecting Gartner’s very latest research findings, the analysts projected the 10 technologies likely to play a ’strategic’ role in 2008. Gartner defines a strategic technology as one “with the potential for significant impact on the enterprise in the next three years.” In addition Gartner also looks at “high potential for disruption to IT or the business, the need for a major dollar investment, or the risk of being late to adopt.”

“Companies should factor these technologies into their strategic planning process by asking key questions and making deliberate decisions about them during the next two years,” said David Cearley, vice president and distinguished analyst at Gartner. “Sometimes the decision will be to do nothing with a particular technology. In other cases it will be to continue investing in the technology at the current rate. In still other cases, the decision may be to test/pilot or more aggressively adopt/deploy the technology. The important thing is to ask the question and proactively plan.”

Here’s a look at the top 10 tech trends, and what Gartner had to say about them:

Green IT: The focus of Green IT that came to the forefront in 2007 will increase in 2008. As the impact on power grids, carbon emissions from increased use and other environmental impacts are under investigation, companies should be mindful of potential regulations that could limit the building of data centers, and should be prepared with backup plans for handling growing data demands.

Unified Communications: At present only 20 percent of the installed base with PBX has migrated to IP telephony, with more doing some sort of trial testing. Gartner says that over the next three years the majority of corporations will migrate to Internet Protocol telephony, resulting in a major change in voice communications.

Business Process Modeling: Top-level process services must be defined jointly by a set of roles (which include enterprise architects, senior developers, process architects and/or process analysts). A key to success will be an organization’s ability to bring these roles together, whether they be process or service designated. Gartner also expects business process management software suites to better complement SOA applications development.

Metadata Management: Over the next three years, companies working to integrate both customer data and product data will link these master data management efforts together in an overall enterprise information management (EIM) strategy. According to Gartner “This critical part of a company’s information infrastructure will enable optimization, abstraction, and semantic reconciliation of metadata to support reuse, consistency, integrity and shareability.” Metadata management, Gartner notes, also extends into SOA software development projects with service registries and application development repositories.

Virtualization 2.0: Virtualization technologies can improve IT resource utilization, but with the addition of automation technologies-with service-level, policy-based active management-even greater improvements are possible. “Resource efficiency can improve dramatically, flexibility can become automatic based on requirements, and services can be managed holistically, ensuring high levels of resiliency,” Gartner says.

Mashup and Composite Apps: Over the next 3 years, Web mashups will be the way companies create composite enterprise applications, Gartner predicts. Mashup technologies will evolve significantly over the next five years, and application leaders must take this evolution into account when evaluating the impact of mashups and in formulating an enterprise mashup strategy.

Emerging Web platforms, Gartner says, will provide service-based access to information, applications, and business processes through Web-based “cloud computing” environments. Companies must also look beyond SaaS to examine how Web platforms will impact their business in 3-5 years.

Computing Fabric: According to Gartner researchers, “A computing fabric is the evolution of server design beyond the interim stage, blade servers, that exists today. The next step in this progression is the introduction of technology to allow several blades to be merged operationally over the fabric, operating as a larger single system image that is the sum of the components from those blades. The fabric-based server of the future will treat memory, processors, and I/O cards as components in a pool, combining and recombining them into particular arrangements to suit the owner’s needs.” The researcher added, “For example a large server can be created by combining 32 processors and a number of memory modules from the pool, operating together over the fabric to appear to an operating system as a single fixed server.”

Real World Web: The term “real world Web” is informal, referring to places where information from the Web is applied to the particular location, activity or context in the real world. Gartner states, “It is intended to augment the reality that a user faces, not to replace it as in virtual worlds. It is used in real-time based on the real world situation, not prepared in advance for consumption at specific times or researched after the events have occurred.” It gives the example of a navigation unit that adjusts the information it delivers as a car or boat moves around. Gartner sees real world Web application improving many business processes and creating new revenue streams.

Social Software: The Web 2.0 market will go through a lot of changes between now and 2010, Gartner says, and will experience considerable flux with continued product innovation and new entrants, resulting in considerable vendor consolidation. However, the research firm does see social networking being adopted by many enterprises to augment traditional collaboration.

According to Gartner, “These 10 opportunities should be considered in conjunction with many proven, fully-matured technologies, as we as others that did not make this list, but can provide value for many companies,” said Carl Claunch, vice president at Gartner. “For example, real-time enterprises providing advanced devices for a mobile workforce will consider next-generation smartphones to be a key technology, in addition to the value that this list might offer.”

What is Linux?

Linux is an operating system, like Microsoft Windows, MacOS, or Unix. It was created as a hobby by Linus Torvalds, a student at the University of Helsinki in Finland. What most people don?t know about Linux is that its source code is available to anyone. The Linux source code is called the kernel and it is the base of the Linux operating system. Because the source code or kernel is free, it has enabled hundreds of companies and individuals to release their own operating systems based on the Linux system. These operating systems or formats are often referred to as Linux distributions.

Each distribution has its own set of features and functionality that makes it unique. While Linux is generally considered free-ware and people associate that with no cost, that is not always the case. Because if the adaptability of Linux it has been embraced and supported by a number of operating systems and software programs. US retailing giant Wal-Mart began selling Linux systems back in 2002 - if Wal-Mart isn?t mainstream, nothing is.

What are the benefits of Linux?

Many people fear that Linux is going to be difficult to work with or that it will be difficult to find software that will run on Linux however Linux is a very standard operating system, compatible with just about any software you need.

Beyond being a standard operating system, Linux supports open source software which makes it a very economical operating system, especially if you program your own software. It offers many free or low cost applications which include, basic desktop applications like web browsers, email programs, word processing programs, spreadsheets, graphics programs, and file managers.

Linux isn?t going to be replaced anytime soon and when bugs are found in the system, a developer are quickly on the job and often times a solution is offered within a matter of hours, not months or years like many other operating systems.

Linux is also fast and can handle a number of tasks at the same time.

Linux also claims to be one of the most secure operating systems isn?t plagued with the viruses that other operating systems generally deal with.

Linux is free from having to upgrade it or deal with proprietary file formats and licensing fees. You don?t have to register it due to its open source format.

You can have both Linux and windows on your computer. (You?ll have to partition them on your hard drive and you can only boot them one at a time.)

Drawbacks of Linux

There is no 1800 customer service number to call. However, most distributions offer a support number or email to call if you find a bug. They also generally come with installation instructions.

You cannot run applications for MS windows on Linux.

Linux is a fantastic and powerful operating system that can handle most or all of your operating needs. It is secure, fast, reliable, and generally extremely cost effective. When purchased or obtained through a reliable distributor and installed and configured correctly there are virtually no drawbacks to running Linux. Additionally, you don?t have to give up your windows if you don?t want to.

How to Clean your Keyboard-Part 2

When it comes to cleaning your keyboard there are many methods that can be used, some harder and more effective than others.

The easiest method is the Shake Method. It is so easy that you can do it right now. Pick up your keyboard, turn it over being careful not to press any keys, and shake it. See all of that stuff fall out? It is dirtier than you thought, isn’t it? You can use one of the following methods to clean it further.

The Blow Method - You can buy cans of pressurized air at the computer department or computer store which are made especially for cleaning your computer. They usually have either a hose and nozzle or a tube extending from the nozzle. Hold the keyboard up vertically (that means that end of the keyboard is up and the other end is down), aim towards the keys and press the button. Keep blowing until all of the debris is blown out. Be sure to get around and in between all of the keys. This can be done with the computer on, but it is better if it is off so that you do not have to worry about pressing the keys and coming up with a page of aaaaaaaaaaaaaaaaaaaaa’s.

The Vacuum Method - This is just like the Blow Method except that a vacuum is used instead of a can of pressurized air. It is quite simple. Just turn the vacuum on, pull out the hose, and run the nozzle over the keys. Before doing this make sure your keyboard does not have any loose pop off keys that could be sucked into the vacuum.

The Cotton Ball Method - This can be done in addition to the above methods and in lieu of the following methods. Take a cotton ball or cloth and wet it with rubbing alcohol. It should not be so wet that the alcohol runs down into the cracks of the keyboard. Wipe the tops and sides of the keys.

The Dishwasher Method - I hesitate to tell about this method because there is the possibility that it could fry your keyboard. When I had less experience with computers, I dunked my keyboard in a sink full of water to clean it. It did work afterwards, so I don’t doubt those who say this method will not mess up your keyboard, but if it does, don’t complain to me. I warned you. If your keyboard is not the standard membrane type of keyboard or if it is on a laptop, do not even think of trying this.

This is how you do it. Unplug the keyboard and place it face down in an empty dishwasher. Do not disassemble the keyboard and do not put it in a dishwasher that has dirty dishes in it. Some say to add soap, some say not to. Run the dishwasher through a regular cycle. Take the keyboard out, shake the water out, and stand it on end until it is completely dry (this may take several days). If it does not work after doing this, it may not be dry. Let it stand another week and try it again.

The Disassembly Method - This is the most thorough method, but it should not be done on laptop keyboards or non-standard non-membrane keyboards.

Turn off the computer and unplug the keyboard. Turn the keyboard upside down. You may want to get two books or short boards to place the keyboard on. Position them so that they hold up the keyboard on the edges when it is turned over. This should leave the keys dangling and not touching the books or the floor. This is especially needed when the keyboard’s back is off; otherwise the keys will be lifted out of their position by the floor (or whatever surface it is laying on).

Get a screwdriver and remove all of the screws from the back of the keyboard. Lay the keyboard down on the books and carefully remove the back.

Take everything apart and clean thoroughly. It is better to take the keys out one at a time and clean them so that you do not put them back in the wrong place. Wipe each one down with a wet cloth and then with a dry cloth. Any keys that may be hard to put back in, can be cleaned in place without removing them. Wipe around the keys as they sit in place and blow any debris out with your lungs (using compressed air or a vacuum may upset the keys). If you are really brave, you can remove all of the keys at once and give the frame a good wipe down too.

Do a once over and make sure that you have cleaned everything. Then reassemble it all.

Don’t forget the keyboard’s cable. Wrap a wet cloth around it and wipe it down. It may have an accumulation of grime that needs to be scrubbed off. Also if any of the letters on the keys have rubbed off, you can use a fine point permanent marker to draw the letter back on the key.

Use these cleaning methods and your keyboard will last a long time and be something you can be proud of.

Mentoring In IT

ATTENTION AMERICAN IT MANAGERS: Within the next decade most of your best people will retire or die. Your senior staffers are baby boomers with twenty years or more of experience in their field. They built the systems: they learned the operating systems as they were created: they know what they know from real life experience that cannot be learned in school. They are also somewhere between their late forties and early sixties. They rose to the top while competing within the largest workforce America has ever seen. When they leave they will take a level of efficiency and expertise with them that will take twenties years to replace.

To make matters worse, the population of appropriately educated Americans coming up behind them is far smaller than the population getting ready to move out. Do the math. Start now. To try to buy that talent later will not only cost you a fortune but you will be competing for a very small population of such individuals, with the entire world.

In this corporate environment where everyone is disposable and so much work is done by contractors so that companies can avoid having to make a commitment to personnel, it is far too easy to miss this growing danger. Business Managers may have learned this?but probably not. However, IT managers usually have not had much exposure to this concept. They live in a world of projects that staff up for the project and then disband. How to you bring up the next crop of leaders in such an environment? This is going to take far too many companies by surprise! But IT is going to be hit much harder than most other departments. I know of no other area of corporate life that is so project oriented. In the IT world, you build a team and disband it a few months later–even when they do outstanding work. All in the name of avoiding long term cost. It also avoids long term success.

There is also an emotional and psychological component to this problem. After the Dot-Bomb debacle, many people with decades of smarts were kicked out due to layoffs, or companies failing, or being eaten by a bigger company that had its own staff. Why do we eat our seed corn? Those that survived are still concerned about it happening again. And it could. It makes them conservative. Possibly even a tiny bit timid and less likely to share their knowledge freely. I don’t blame them. Because our corporate mentality is to cut the expensive people and replace them with contractors?that we can easily get rid of when the job is done. What a vote of no confidence! This is considered to be a strategy. OK?I will accept that. It is a strategy. But it is a very short sighted one. Where is the mid-range planning?

So, what do you do? In this article and podcast, let us restrict our focus to Mentoring. Future articles and podcasts will explore other activities that are also proven and available.

Do you have a mentoring plan in place? I don’t mean the typical, “oh, we believe in mentoring around here” kind of plan. I mean a thought out purposeful plan whereby you determine which journeyman IT personnel have the potential to grow into those senior roles and have your baby boomer senior staffers truly mentor them to bring them along. I doubt it. It does exist; I know of a few such companies. But it is rare.

Part of the problem for those that want to create a mentoring program is that it is not so simple to identify candidates. Let me help with that. Not everyone is a candidate for mentoring and few people are cut out to be mentors. It’s sad but true. Don’t spin your wheels and exhaust your enthusiasm backing the wrong plan and/or individuals. You need to have some way to identify in whom you want to invest. And, please understand, it is an investment. You will invest money but not only money. You will invest the time of very busy and critical people. That will hurt a bit?but you don’t really have any choice. If you are responsible for future planning in your organization, ignoring this process is irresponsible.

Here is a handy way to help make these determinations. A friend once told me that he had learned in a sales course at IBM, decades ago, about a concept that went something like this?and I may be mangling it so please forgive me. It was not meant for IT or Mentorship purposes, but I have adapted it.

There are four levels of competence. They are listed in order from least capable to most capable in performing their job. Oddly, this does not represent the order in which they are most effective in a mentoring program.

- Unconsciously Incompetent

- Consciously Incompetent

- Consciously Competent

- Unconsciously Competent

UNCONSCIOUSLY INCOMPETENT: This person doesn’t know that they don’t know. They are not a candidate for this program?but may need help in learning to learn.

A famous story about Thomas Edison says that he used to test fresh new Engineers who wanted to work for him by putting them in a lab with a very unique and oddly shaped glass container. He would tell them to figure out the internal volume of the container. One time he watched a new graduate work out the problem by measuring all the diameters of the odd twists and turns of the glass and carefully making the calculations on his slide rule. When he presented the answer, Edison said, “You got the right answer, but I can’t give you the job.” The young man asked why and Edison responded by picking up the container, filling it with water and pouring into a graduated beaker, getting the answer in ten seconds.

CONSCIOUSLY INCOMPETENT: This person knows that they don’t know and is probably working to get better. They are a junior person with potential. Such an individual bears watching?and possibly a little testing. Don’t make it something too hard, but it should be a little scary, something that makes them stretch. See what happens. This is a good candidate to groom for middle management and in future years, senior management.

CONSCIOUSLY COMPENTENT: This is where the high performers stand. They will be in middle to senior management already. These people are two-for-one sales, all by themselves. They are both someone to be seen as a candidate to RECEIVE mentoring?for senior management?and the ideal person to PROVIDE mentoring for the Consciously Incompetent candidate. They have a high level of skill and consistently perform very well.

This person knows what they are doing, and remembers learning how to do it. They are not as capable as the Unconsciously Competent person. Nevertheless, they know what they know and they know how to transfer it to someone else–if they are motivated and are not afraid of losing their own place. If they know that they are part of something stable and long term and can afford to create their replacement?they are who you need. Because that is exactly what you want them to do. You want them to create their own replacement. You want them to bring up someone that will ask management for less, has a longer run in front of them and to know that they are not committing financial suicide by doing so.

Not all people in this category will make good Mentors as communication skills and a desire to teach are critical components to performing well in the role. I know many individuals who are extremely skilled and have the sort of knowledge that is transferable?but who could never serve this role with someone successfully. You need to keep other variables in mind.

- Communication Skills

- A temperament that tends toward explaining what they are doing, rather than keeping things “close to their vest.”

- Good people skills

The people that will make the best Mentors are already doing it. They are respected by their peers as someone that is very free with their knowledge. They are just informal about it as there is no real structure. Find those people and give them a mandate, the time and some guidance and they will do a wonderful job for you.

UNCONSCIOUSLY COMPENTENT: The highest level. This person doesn’t even know why they are so good anymore. Everything is so effortless that it is unconscious. This is the best you can get and you may only meet a handful of people like this in your career. Don’t touch this person! There are two very good reasons why.

1) They are not replaceable or reproducible. They really are unique. Give them whatever they want to keep them doing what they do and don’t distract them!

2) The other reason to keep them away from a mentoring program is because they make terrible mentors. They have no idea how they are doing what they are doing. They just do it–better than anyone else. But, they can’t teach what they themselves don’t really understand. Treat them as the gift that they are and get out of their way. Additionally, the probable failure in their attempt at mentoring will mess with their confidence. You don’t want that.

There is a lot written on mentoring techniques, so I will not belabor the point. You, the IT Managers, may not have the authority or sense of security to set up this sort of program. I understand. However, if you want to do it and you have the authority, it isn’t really hard to begin. There is a lot of material already in publication about various approaches. This is not a new concept. Available resources will probably not be specifically IT management related, but you can apply their lessons. My goal in this article is not to present something you have never heard of before. Rather, it is to remind you of what you already know–and to demonstrate how critical it has become to use that information.

Projects are also an opportunity. If you allow less capable people to work with more capable people, or more accurately, tag along, relationships can be created. Make the project oriented nature of our industry, which is its greatest weakness in this regard, become a new strength.

Overcome Your Fear Of Switching Web Hosts

This is intended to be a hold-your-hand guide, to assist even the least intrepid website owner to get over their needless fear of switching to another web host or web hosting package.

It is important to realize that by sticking to your old web host you may be losing out on better deals, more up time and superior back-up and support. All that translates into more income and after all that is why you have a website. Surveys conducted among website owners show that website owners are paying up to ten times more for their current web host than they would for a cheaper and better web host, just because they fear the switching over process. They believe that changing web hosts will be complicated, have direct cost implications and could even lead to the loss or at least the corruption of their website or group of sites. This article intends to help you get over your baseless worries.

If you, as a website owner, started out on the internet by going to a famous branded name for web hosting and you have stuck with it because you think that if they are big and well-known they must give you value for money, then you should reconsider. The odds are that you are paying a premium for the name without necessarily getting the reciprocal service. Do not choose your host because the name makes you feel comfortable, or for that matter because you think it?s a good deal. Rather look at what you are getting and compare the offerings from other web hosting companies. Here is a rule of thumb. The very best hosts have live chat facilities available during business hours. It is well worth it, for your peace of mind, especially during the switchover process, to opt for a host that has a reputation for good support. Also check before signing up that the web hosting firm has a contactable physical address and phone numbers. Go ahead and test the support system by phoning them, live chatting to them and emailing them.

Thirdly, look at the number of email Pop3 emails your web host can offer. You should be able to get at least 10 and rest assured you will need these in time, as your business grows. Remember, if staff and family use email addresses related to your site, this is a form of advertising for your website. Finally, have a good look at the control panel which the new host is providing. See if there is a demo so you can try it out and get the feel of how user-friendly it is. A plus factor here is FTP access. Ideally you should have 24-hour FTP access so you can make modifications whenever you like. Also look out for a site builder, bulletin boards or chat rooms so you can interact with your visitors using the host?s services. Also check to see if the new host will be able to handle such popular features as PHP, ASP, CGI, Java scripts, Perl scripting or whatever else you have.

Once you have decided to move to a new host, timing becomes paramount. Make sure you cancel your subscription to your existing host before the end of the billing cycle.

Forget about refunds from your old host. You will not get one for periods of less than a month. I also recommend at least a week?s overlap when you will effectively have two hosts, the old and the new. You will use this time to ensure that everything works correctly on the new host and that all the files and email accounts are present.

Right, so you have signed up with the new host. Now you must save the files created for the site on your computer so they can be stored and backed-up. If you created the site yourself with a website builder like FrontPage or Dreamweaver you will probably have those files already. If, however, you used a web-based builder then you should download every page of the site along with their dependent files to a folder on the computer. This is easier than it sounds. You can either use an FTP tool to accomplish this or you can use the File>Save As method, which works as follows. Open your web browser (it can be Netscape Navigator, Internet Explorer or Mozilla) then find the file button on the tool bar. Now go to the first page of the website. Once it has loaded, click on ?File? then ?Save As? and save this and all dependent files to a folder. Do this with each page until everything is saved. Now back this up to a disk.

The next step is to see that any other files on the outgoing web host are backed up. For example, if you have been using web-based mail then forward the emails to an ?off-network? email address, or even archive emails to the computer?s hard drive. Remember that once you switch to your new host, all emails at the outgoing host will be deleted.

Now that you have control over the contents of your website, you need to upload all of the files to the new host?s servers. They will provide you with the FTP details required and this is where online and live support is invaluable. Once this is done you should create an email accounts to match each email account from the outgoing web host. This is essential so that there are no bouncing emails later when the switch goes through. This is the point at which you can change the domain name?s main servers, and for this the new host should supply all the information. There will also probably be subsidiary servers.

If you have registered your own domain name then the registrar should have a management area. If your domain name is registered through the outgoing host then you should ensure you have access to change this. It will take a day or two for the name server change to propagate so the domain name points to the new servers. Use the week when you have access to the old host and the new one to make any modifications.

I wanted to scrape a graphic from a PDF file and I was searching online for my options. Normally one looks for a packaged option, downloadable, and I was sorting through the free and not so free, the working and not so working and I came across this little gem called Zamzar. It?s a service, rather than software, and they do one or two of the niftiest things going. First, they translate my PDF files into just about any file format I could wish for. This was what I wanted in the first place, but they also offered to do little other things that were neat, like send me a file that they can scrape off Youtube! I like that. Let me go aside for a paragraph and then back to Zamzar.

I pulled Paul Tobey?s Music Box Dancer, which is a jazzed up version of the classic off and now I can listen to it on my PDA when I don?t have internet access. One of the comments said it best for me: ?I like both versions. These guys are just having a great jam session having fun with a tune that lends itself to such things.? Over 22,000 views can?t be wrong! Paul is an interesting guy. I met him at one of his Internet Marketing Courses, and after about three hours, realized that he wasn?t just teaching me how to do Search Engine Optimization, but he was also teaching me about copy writing, etiquette, strategy, how to close sales, and just plain Internet business sense. It also seems to convert WordPerfect documents into Word documents and Word documents into WordPerfect Documents which can be very handy if you are in a WordPerfect shop.

I’ll use Zamzar occasionally. However, I’m not sure I want to ship my corporate or personal information to Zamzar or off into some unknown place in the Interweb, but I sure like it for what it does. I’ll stick to MyPDFCreator for the business critical and personal stuff, but Zamzar is a great tool in the toolbox!

2. PDF Etiquette: It’s the right thing!

Just because you have PDF doesn’t mean you have to use it! When should one use PDF and when should one stick to POT (Plain old Text)

PDF is great when you want to send an uneditable document. Examples include quotations, invoices, legal documents, and ebooks PDF is also outstanding for sending documents for which the presentation layout is crucial, like annual reports.

However, anytime that you email an attachment, it requires extra clicks to open it, and people tend not to do extra clicks. They miss the attachment, or they don’t want to open attachments for fear of viruses, or, if they are on an old computer, opening up large PDF or other files can slow down and stop a computer. If you are sending a birthday party initiation or something casual, put it in the email. Don’t use any attachment at all.

3. In Software, “Feature Rich” can be a “Bloated Pig”!

Make sure that the software you are using isn’t loaded down with options you’ll never use. If you buy, for example, Adobe Professional for $449.00 you are getting the most complete feature rich, product available. This is great when you want to “Design forms to collect and aggregate data through e-mail or on the web” for example. But if 100% you are going to do falls in the realm of “create a Word Document or a PowerPoint show and convert it to PDF and back” then you don’t need to spend most of the $449.00 and you don’t need to have to struggle through the myriad of options that the “Feature Rich” software offers you, and you don’t need to go on a three day training course. Buy the bacon, not the whole hog!

Eliminating Unused Resources with Telecom Expense Management

With the proliferation of mobile devices and new technologies like Voice over Internet Protocol (VoIP), the old ways of keeping track of equipment and services are no longer adequate. And even though communication costs have plummeted in recent years, demand has also increased, with new high tech devices being added almost daily. If anything, the need for Telecom Expense Management (TEM) software has increased, particularly in the area of inventory control.

Tracking inventory can be a troublesome task. A good starting point is to collect all telecom vendors? invoices and establish what is being billed for. This may not give an accurate picture, as billing errors are common.

Some TEM systems incorporate a cable management module that provides a firm basis for establishing what the communications network consists of. This feature greatly simplifies managing the physical layer details for any network. It documents the circuits and physical connectivity for all cable connections between voice and data equipment in single or multi-building network cable plants.

The cable network data must be supplemented with an inventory of mobile devices that are not part of the physical network. These mobile devices should be recorded, along with the names of the persons using them and tied to personnel records. The necessity for this is illustrated by the case of one large company that, after implementing a TEM system, found that 3500 monthly cell phone bills were still being paid for ex-employees who had long since left, costing the company in excess of a million dollars per year.

Once the inventory is complete and accurate, it should be inspected for any non-optimum utilization of resources. For example, it is not uncommon for telecom vendors to continue billing for branch locations that have been closed, either because they were not notified or because they failed to adjust their records.

Before you sail into a storm baton down the hatches, and before you cruise into hacker, virus, trojan, and criminally infested areas of the world wide web at least darken the windows and arm yourself. Not to take appropriate precautions will assure your computer a visit to the infectious disease controls center if not the hard drive morgue.

Firefox developers have thus far proven themselves to the best at incorporating necessary safety features into their browser while preserving user options and cruise speeds. But that is not the half of it… not by a long shot. “Firefox 3 is based on the Gecko 1.9 Web rendering platform, which has been under development for the past 31 months. Building on the previous release, Gecko 1.9 has more than 12,000 updates including some major re-architecting to provide improved performance, stability, rendering correctness, and code simplification and sustainability. Firefox 3 has been built on top of this new platform resulting in a more secure, easier to use, more personal product with a lot more under the hood to offer website and Firefox add-on developers improvements.”, according to Mozilla.

* One-click site info: Click the site favicon in the location bar to see who owns the site and to check if your connection is protected from eavesdropping. Identity verification is prominently displayed and easier to understand. * Malware Protection: malware protection warns users when they arrive at sites which are known to install viruses, spyware, trojans or other malware. (Try it here!)
